Travel and Accommodation

We aim to make CUWiP accessible to everyone. Once you apply, our goal is that every student accepted to CUWiP @ BC and Wellesley can register and attend.

Travel:

Travel to the CuWiP conference is usually paid for by your home department. In cases where your own department, or other sources, can not cover the cost, there are funds available to provide support travel to CUWiP so no one has to miss out on CUWiP for financial reasons. Financial support from CUWiP is conditional upon having inquired about support from your department and getting pre-approval from the CUWiP @BC and Wellesley organizing committee for all expenditures prior to travel. If you request financial assistance for travel, including flights, trains, buses, or car expenses (rental, fuel, parking), please adhere to the following steps:

  • Confirm that your home department is unable to support your travel-related expenses.
  • Email your itinerary and cost estimation to cuwipbcwellesley@bc.edu to request travel support.
    For travel expenses over $100, including flights, trains, buses, or car-related costs (such as rental, fuel, parking), it is essential to first email the cost details and itinerary to cuwipbcwellesley@bc.edu for pre-approval before proceeding with the booking. Be aware that expenses made without obtaining prior approval may not be eligible for reimbursement.
  • If your request is approved, be prepared to initially cover the costs yourself. Reimbursements for approved travel expenses are typically processed post-conference.

To assist in calculating your expenses, provided below are details about the venue, transportation options, and availability of parking.

Venue: The conference venue is the beautiful Boston College campus (140 Commonwealth Ave, Chestnut Hill, MA). The majority of the events on the agenda are scheduled to take place in Higgins Hall, Devlin Hall, Corcoran Heights, and Lyons Dining Hall, as indicated on the map provided below. Additionally, the campus is conveniently situated near the MBTA-Boston College T station. There are various ways to get to the campus:

  • For flight or bus: Boston College is accessible by public transportation from Logan Airport or South Station through the “Boston College” stop on the MBTA Green Line B. The ticket price is $2.40 per time.
  • Parking: If you plan to arrive by car, you have two parking options: on Boston College’s campus (Commonwealth Avenue Garage and Beacon Street Garage) or at the hotel. Please note that hotel parking can be costly, with valet parking priced at $45 per day. If you find it necessary to park at the hotel, it’s crucial to first consult with your home department for parking reimbursement. If your home department declines your request for reimbursement, please reach out to us (cuwipbcwellesley@bc.edu) in advance for such requests. Otherwise, we may not be able to reimburse you either. Alternatively, we strongly encourage you to park your car in the campus garage upon arrival and retrieve it when CUWIP concludes. We will provide you with parking passes during the registration process, which you can use to cover your parking expenses when exiting the garage. Detailed instructions will be provided later. Additionally, shuttle buses will be available to transport all attendees between the hotel and the campus for your convenience.

Lodging and meals:

All meals and accommodation during the conference are organized and the costs are met by CUWiP. You do not need to book or arrange accommodation on Friday or Saturday night. All meals, snacks, and coffee/tea breaks will be provided, with costs covered by CUWiP. Special dietary requirements will be accommodated; participants should list any such requirements on their registration form.

Attendees will be accommodated at the AC Hotel Boston Cleveland Circle (395 Chestnut Hill Ave, Boston, MA 02135) for the nights of Friday, January 19 and Saturday, January 20, 2024. Two attendees (double occupancy) will be assigned per room with double queen beds. Attendees will have the option to indicate their roommate preference prior to arriving. The hotel is a convenient 20 minute walk from Boston College campus. Alternatively, Boston College operates a shuttle service (https://bc.transloc.com) between the hotel and Boston College campus. The hotel is at shuttle stop G: Reservoir MBTA stop in the map below.

Note: Our accommodation package covers Friday and Saturday nights, allowing attendees to stay for the whole conference duration. Accommodation for Sunday night is not included. If you require an extra room for Sunday night, we have made arrangements with the hotel to accommodate this request. You may inform us in advance if you need the extra night, and the hotel will keep you in the same room that you used on Friday and Saturday. Please note that the cost for the additional night on Sunday will be your responsibility, and the hotel will require payment separately.
